Organizational Effectiveness

Issue:

Busy project managers and executives within a global enterprise were spending increasing amounts of time searching for important email in their inbox and attempting to determine which messages merited prompt attention and action. Despite those efforts, important email was frequently overlooked. This significantly decreased individual performance. These individuals were also perceived as unresponsive and uninterested by fellow team members.

The problem was worse for managers. Because teams were spread across multiple time zones, an email response that was delayed just a few minutes would hold up an important decision by as much as a full day. This created a domino effect that slowed the decision cycle and overall responsiveness of the entire team.

Solution:

The company evaluated a variety of products. They found most of them to be inadequate and unsatisfactory, as their technology was limited to individual desktops, used static information and lacked functionality for tasks such as examining group metrics and reports.

Messagemind™ was selected due to its highly user-friendly features, familiar MS® Outlook interface and functions and out-of-the-box business intelligence solutions. The technology was implemented at a central data center and rolled out across global locations in less than one month. Location champions/power users were identified in each division who in turn, led the implementation within their respective departments and teams. The training efforts were minimal and recorded for on-demand viewing by users.

Outcome:

The company estimates the decision cycle is now faster by more than 26%. The team members are now able to quickly read and respond to most important email before logging off for the day.

Users report greater peace of mind and an improved work-life balance, as they are less worried about losing important email or failing to take important action during their busy workday. The company estimates that this qualitative improvement in user behavior has been instrumental in raising employee satisfaction within the company and increasing overall organizational effectiveness.
