Messagemind’s patented C-Mail Dynamic Prioritization™ & Workflow Platform is smart technology that learns and automatically prioritizes and organizes email within Microsoft® Outlook/Exchange, BlackBerry® OS/BES, and supports other mobile platforms. Messagemind™ is the only company that provides server-based Dynamic Prioritization technology which automatically learns priorities from an individual’s natural clicking behavior as well as group collective intelligence & company business rules.

Each email in a person’s Inbox or any of their Sub-Folders and Sent Items is automatically assigned a color coded priority category on a scale of Very High, High, Medium, Low to Someday. Users can easily change the priority of email with a single click allowing smart algorithms to use this feedback to further improve prioritization accuracy.

The technology is easy to use. No changes are made to native inbox functionalities, existing rules & filters, or email flow. It provides supplemental views and categories encouraging changes in behavior that improve both individual and group productivity. Users can simply switch back to the native inbox or opt out at any time.

The system provides intuitive archiving options to help save users’ time by automatically moving email out of their mailboxes. It also saves significant storage costs by providing an email data classification system which allows less important email to be stored in a less expensive medium.

The prioritization technology goes beyond email, prioritizing many other types of electronic communications such as meetings & calendar invites, alerts, feeds, phone and fax messages as well as social network updates generated within or outside company boundaries.

How it Works

C-Mail’s Dynamic Prioritization engine is a smart set of algorithms that learns users’ priorities by following their collective clicking behavior, looking at their email history as well as optional company business rules. In a short period of time, generally within 1-3 weeks, it accurately learns users’ priorities.

The system parses each email into sub units and performs hundreds of complex calculations within milliseconds on each unit to analyze priority from many different angles such as subject, sender, other recipients, content, context, keywords, relationships and comparing these with users’ prioritization patterns, captured in a set of mathematical algorithms.

The platform has loose-coupled web services connectors to MS® Exchange, BlackBerry® Enterprise Server (BES), MS® OCS & Lync, SharePoint, CRM, LDAP, employee directories, social networks and other collaboration tools and delivers intelligence to end-users on MS® Outlook, RIM® BlackBerry and other mobile devices. The system can be installed behind a company’s firewall and does not require any changes in email flow.

By leveraging latest advancements in server in-memory & multi-threaded processing technologies, the prioritization engine intelligently learns individual priorities along with group and company patterns. All prioritization calculations and processing takes place on the server side, reducing any impact or dependency on the end user’s device (PC, mobile).

Workflow & Smart Mailbox Management

C-Mail provides organized views and embedded workflow features that enforce email productivity best practices, efficient decision-making and smart inbox management.

End users are presented with organized views displaying only items of highest priority to them, making it easier to focus and work on those items first. The embedded workflow functions allow email to be marked To-Do, Defer, or Complete. C-Mail significantly shortens time to action and enables users to respond immediately to tasks that need to get done first.

Central Administration & Privacy Controls

The system provides role-based-access control and seamlessly integrates with a company’s LDAP, active directory and other management systems. Company administrators have the flexibility to set optional business rules to align workforce priorities with company goals. For instance, a particular client’s email can be automatically ranked Very High priority in the mailboxes of employees working in the Sales and Customer Service departments.

A robust central admin console also allows administrators to control security & privacy, allowing organizations to adhere to company and country-based privacy policies.
